It is possible through the Monitor role in Inspera to give students additional time, extend submission deadlines and submit on behalf of the student. While this functionality provides a great deal of flexibility it is essential that these options are only utilised in line with the regulations of Coventry University Group.
This guidance sets out when giving additional time to students is permissible, how this needs to be recorded and how the additional time is added in Inspera.
Additional time including IEAs
Additional time may need to be given to a student because they have an IEA (planned additional time) or during a closed book exam where there may be technical issues (incident additional time). For coursework the 24-hour grace period (see below) is provided to cove any potential technical issues when submitting
Students with IEAs
Students who are allowed additional time are identified on Universe. This is the source of information that must be used to identify the students and the additional time required. Extra time for those students who have an IEA can be added using the Planned Extra time option.
For assessments run under exam conditions Incident Extra time can be given to students where their assessment is interrupted by circumstances outside their control such as technical issues with the computer or wifi.
Incident extra time
The use of incident extra time is applicable in closed book, time constrained assessments. Incident extra time can be added where students have technical issues during an assessment for example. For formal exams this must be reported to the Chief Invigilator for inclusion in their report.
When giving students additional time the ‘Add Extra Time’ option should be used. For more details see Inspera article below.
Extensions
It is recommended that changes to the ‘Individual End Time’ are used to manage extensions. These changes should only be made once the approval of extensions have been confirmed by checking the students’ records (under notes) on Universe.
- Individual end time
- This feature overrides the standard end time for the assessment.
- If any students are given an extended individual end time and are still active when grades are to be confirmed for other students a warning is provided at the point of confirming grades that the candidate list is incomplete.
- Late submissions
Deferrals
For deferrals it is recommended that a new assessment is created.
24-hour grace period
The 24-hour grace period, which applies to coursework, can be set up using a combination of the Test End Time and Primary Submission Deadline. These are set during the scheduling of an assessment.
- Primary submission deadline sets the due date for the assessment.
- Test End Time is when the test closes and no further submissions are possible. Any submissions made between the Primary Submission deadline and the Test End Time are recorded as late submissions.
